Rolling reserve · ShieldBill Pay
Rolling reserve?
Stop guessing your next payout.
Sales are coming in. Cash isn’t. Get the reserve terms clear, compare your next processor and build a payment setup your business can plan around.
A rolling reserve withholds part of eligible sales and releases it on a schedule. Understand the rate, duration and release conditions before comparing another PSP’s offer.
Rolling reserve?
Know what stays held.
A rolling reserve sets aside a percentage of payments, with those amounts becoming eligible for release over time under the account terms. It is different from a single fixed reserve amount or a blanket payout hold.
Read your own notice. Square describes a rolling reserve for card payments. Shopify Payments describes both percentage-based and fixed-amount reserves. The provider, products and contract determine what applies. A reserve does not automatically mean that all new payments have stopped.
| The term | What you need to know |
|---|---|
| Reserve rate | Which payments are covered and how the withheld amount is calculated. |
| Holding period | When each amount becomes eligible for release. |
| Review date | When the provider considers whether the reserve should continue. |
| Adjustments | How disputes, refunds, fees and changed terms affect the balance. |
Sales aren’t available cash.
Count what reaches your bank.
Separate gross sales, processing fees, reserve deductions and released funds. Build the cash-flow view from those lines. A large sales total is not the same as money available in the bank.
The example below shows the reserve deduction only. It leaves out fees, refunds, disputes and payout timing. Use your contract and actual transactions for the complete calculation.
When can funds be released?
Check the actual terms.
Ask which balance is scheduled for release and which date applies to each amount. Separately, check when the provider reviews the reserve itself. Ending new processing does not establish when an existing reserve becomes payable.
If a review or appeal route is offered, use the provider’s stated process. Prepare accurate fulfilment, refund and dispute records. Keep release notices and adjustments reconciled. Neither ShieldBill Pay nor another processor can override the existing provider’s reserve decision.
Comparing processors?
Compare the cash you receive.
Tell us what you sell, your country, volume, delivery times and current reserve. We find suitable PSPs and help you compare the complete offer. A lower headline processing rate can still come with reserve or settlement conditions that matter to your business.
Ask each provider the same questions. What is withheld? For how long? Which sales are covered? Can terms change? What happens after closure? The next PSP may require its own reserve. We do not promise reserve-free approval.
- Compare reserve rates and release conditions alongside processing fees.
- Check settlement timing, volume limits and minimum charges.
- Confirm the checkout, subscriptions and saved-card support.
- Keep the old retained balance separate from projected new payouts.
Another account isn’t enough.
Connect and test the backup.
Once a suitable PSP is approved, connect and test it before moving sales. Where supported, ShieldBill helps prepare billing and routing across approved providers. Keep eligible saved-card migration and subscription schedules in the launch plan.
A backup is a business-continuity tool, not a way to conceal activity or evade agreed risk controls. Be accurate with every application. Keep each provider’s terms, outstanding obligations and settlement process visible to the team.
PUT THE PLAN TO WORK
Your rolling-reserve review checklist.
Know what is retained, when it can be released and how the next offer compares.
The calculation example is illustrative. Existing reserves follow the original provider’s terms; another PSP can require its own reserve. Do not use a backup to evade agreed risk controls.
Common questions.
Is a rolling reserve the same as frozen funds?
No. A reserve usually describes an agreed or notified amount withheld under account terms. A payout hold or account restriction can affect transfers differently. Read the notice to establish which situation applies.
When will my rolling reserve be released?
Check the holding period, scheduled releases and adjustments in your account. The date a provider reviews the reserve itself may be different. We cannot guarantee an amount or release date.
Does switching processors remove the reserve?
No. Existing reserves stay with the original provider’s process and obligations. A new PSP handles future payments under a separate agreement, which can include its own reserve.
Can ShieldBill Pay find a processor without a reserve?
We help compare providers and their actual offers. Reserve requirements depend on the business and underwriting. We do not guarantee reserve-free processing or approval.
How do Stripe, Square and Shopify reserve searches fit together?
Start with the terms for the account holding your money. Use this guide to compare reserve mechanics and another PSP’s proposal. If an account review or closure has stopped payments, use the provider-specific action guide too.
